SHIPPING & FULFILLMENT POLICY

At Closer Coffee, our priority is delivering absolute peak performance in every cup. To guarantee maximum freshness, we do not pull coffee from aging warehouse shelves — we operate on a strict roast-to-order model. Please review our shipping and fulfillment procedures below before placing your order.


1. The Roasting & Fulfillment Cycle

All Closer Coffee blends are roasted in precise batches.

  • Processing time: Your coffee is roasted to order in scheduled batches — never pulled from a shelf. When you place an order, it joins our next roast, so your beans are rested, packaged, and dispatched freshly roasted. Depending on where your order falls in the roasting cycle, dispatch is usually within a few business days; please allow up to 10 business days from order to dispatch at the most.

  • Dispatch notifications: You will receive a shipment confirmation email with tracking information as soon as your order is handed over to our logistics partners.

2. Shipping, Delivery Timeframes & Statutory Delivery Period

We ship globally, with a primary focus on Bulgaria, the European Union, the United Kingdom, and the United States.

  • Shipping rates are calculated at checkout based on your destination and package weight, and are displayed to you before you complete payment.
  • Estimated transit times (after dispatch):
    • Bulgaria: 1–3 business days
    • European Union: 3–7 business days
    • United Kingdom, United States & other international: 5–14 business days, depending on the carrier selected at checkout
  • Transit times are estimates provided by the carriers and are separate from our roasting and processing window.
  • Statutory delivery period: In accordance with EU and UK consumer law, we will deliver your order within 30 days of the order date at the latest, unless a longer period is expressly agreed at the time of purchase (for example, prepaid subscription cycles). Our roast-to-order processing time is included within this period. If we are unable to deliver within this timeframe, you may contact us to agree a new delivery date or to cancel the affected order for a full refund.

3. Customs, Duties & Import Taxes

  • Orders within the European Union: No customs duties or import taxes apply. Goods move freely within the EU single market, and any applicable VAT is already included in the price you pay at checkout.
  • Orders to the United Kingdom, the United States, and other non-EU destinations: Your shipment may be subject to import duties, customs fees, and local taxes once it reaches your country. These charges are set by your local authorities, are outside our control, and are the responsibility of the recipient. Microscale Investment Ltd. cannot predict or cover these charges, and we advise you to contact your local customs office for specific information before ordering.
  • Because our coffee is roasted to order and perishable, if a package is refused or returned to us because import charges were not paid, we are unable to refund the original shipping cost, and returned perishable coffee cannot be resold or refunded.

4. Subscription Shipping

If you are enrolled in a Closer Coffee subscription plan, your shipping cycle runs automatically.

  • Your renewal orders are generated according to the frequency you selected.
  • To ensure you never run out, the system schedules your roast batch automatically upon successful billing. The same up-to-10-business-day roast-and-dispatch window applies to all recurring orders.
  • You can pause, skip, modify, or cancel your subscription at any time through your customer account portal. Please make any change before your billing date. For full details on cancellation and billing, see our Terms of Service and our Return & Refund Policy.

5. Risk in Transit, Order Tracking & Lost Packages

Once your order is dispatched, you will receive a tracking link. Please monitor your tracking information so that you, or a person you have designated, are available to receive the delivery.

Risk during transit (EU & UK consumers): In accordance with EU and UK consumer law, we bear the risk of loss of or damage to your order until it is delivered into your physical possession (or the physical possession of a person you have designated, other than the carrier).

  • Lost in transit: If your tracking indicates the package was lost before delivery, please contact us within 14 days of the expected delivery date. We will investigate with the carrier and arrange a replacement or a refund.
  • Marked "delivered" but not received: If your tracking shows the order as delivered but you have not received it, please contact us within 7 days. We will open an investigation with the carrier. Where we are unable to establish that the order was delivered into your possession, we will arrange a replacement or a refund in line with your statutory rights.
  • After successful delivery: Once your order has been delivered into your possession, responsibility for the goods passes to you. We cannot be held liable for parcels that are subsequently mislaid or stolen from your property after successful delivery.

Damaged on arrival: If your order arrives damaged, please follow the process set out in our Return & Refund Policy (contact us within 14 days of delivery, with photos of the damage).


6. Incorrect Shipping Addresses

Customers are solely responsible for entering a correct and complete shipping address at checkout. If a package is returned to us because of an incorrect or incomplete address provided by the customer, the customer will be responsible for the cost of re-shipping the order. Because our coffee is roasted to order and perishable, we may be unable to re-ship the original batch and may need to roast a fresh order.


7. Right of Withdrawal (Returns)

Because our coffee is a perishable food product that is roasted to order, it is exempt from the standard 14-day right of withdrawal under EU and UK consumer law once roasting has begun. This does not affect your statutory rights in the event that a product is faulty, damaged, or not as described. Full details are set out in our Return & Refund Policy.
